Digitizing
a Paper Intensive Process
About the Client
The client is a leading provider of financial services to retailers,
manufacturers, and consumers in over 35 countries around the world.
Their financial services include personal loans, auto loans, mortgages,
credit cards, corporate travel and purchasing cards, home equity
loans, debt consolidation and much more.
Challenge
The client faced challenges in analyzing how to drive out costs
and increase productivity in Auto Financing. Auto dealers, the main
source for generating new loan applications fax in all their contracts
and copies of supporting documentation. This amounted to a lot of
paper and documentation in the physical form.
Indus was approached to provide a solution that will enable faster
turn-around time and better handling of the end consumers’
documents.
Solution
We proposed a fax server solution, which was integrated with Domino
workflow.
The solution converts the faxes into TIF images creating an electronic
customer file. The files are then routed using Domino workflow to
various smart work queues for processing. The process owner has
the ability to manage the images with highlighters, zoom in and
out and to add data fields to the image to enhance the search capability.
Automated checklists are generated in the underwriting phase of
the workflow based on a series of rules related to the automobile
type and loan parameters, allowing the underwriters to track that
the proper documents that have been received and track the outstanding
documents before funding the loan to the dealer. Domino workflows
date and time stamping functionality makes it easy to measure every
phase of the process and to generate metrics to ensure we are meeting
Time to Yes service commitments. The application also has fax back
capability which allows the underwriters to fax back a form with
pre populated information notifying them of any missing documentation
on a consumer file. The Application also has a domino.doc backend
where all images and files are stored in for archiving allowing
full search capability.
